The soundbite and voiceover recording sessions have been completed. Your vendor has edited the piece together and the finished product is in an mp3 recording, ready for you to share with your client. The audio news release project is reaching its end, but you still have to get the final, finished product to your client and their approval to the vendor under deadline. There are some things you can do to keep the process moving and keep the project on track.
Avoid any Back and Forth
Sometimes approval chains can get caught in a loop. One person thinks things should be one way, while someone else thinks they should be another way. This can result in a lot of back and forth as each side provides input. If you are staying in contact with your client and communicating with them regularly, you will likely notice this. You may be able to step in and help the two sides come to a compromise or find an alternative they both agree on.
Simplify the Approval Process
At this stage of the project, it is probably prudent to simplify the approval process. If several people have approved the script, it usually isn’t necessary for everyone to also approve the recording itself. Talk to your client about assigning just one or no more than a few key people to approve at this stage so that you can keep the project moving and stay within the deadline.
Communicate with Your Clients
Communication with your clients is key at all points of the project, but it can be especially crucial at this stage. If you are communicating regularly with your client, you can keep your finger on the pulse of the approval process. It will be easier to see if there is a bottleneck, or if you need to talk to your client about accelerating the approval chain. This will help you keep your project on track.
Get a Decision and Move on It
Once you get a decision from your client, move on it quickly, especially if any changes need to be made. It is far better to finish ahead of your deadline than it is to scramble at the last minute and possibly miss it. Sometimes delays are inevitable, but working ahead is your best bet for avoiding them. A missed deadline can cause problems with the entire project.
